What is a DJ invoice?

A DJ invoice documents fees for providing disc jockey and music entertainment services at events including club nights, weddings, corporate functions, festivals, and private parties. DJs may provide their own equipment (CDJs, mixer, speakers, lighting) or perform on house equipment at established venues. Equipment hire and engineering services are separate cost components from the performance fee. Wedding DJs, club DJs, and corporate DJs operate in different markets with different pricing norms. A professional invoice demonstrates credibility and ensures clear expectations around setup time, performance duration, equipment included, and payment terms.

How to invoice as a dj

For private and corporate events, collect a non-refundable deposit (20-30%) when booking with the balance due 7-14 days before the event. For club nights booked through promoters, invoice after the event with Net 14 terms. For festivals and large events, a deal memo and 50% deposit upfront is standard. Separate equipment hire from performance fees on the invoice. For regular venues, invoice monthly for that month's nights.

Frequently asked questions

How do I price a wedding DJ versus a club DJ set?
Wedding DJ pricing accounts for the longer duration (4-6 hours), the preparation involved (coordinating music requests, first dance timing), and the emotional significance of the occasion. Club DJ rates are typically per-set and range from small club nights (£200-£500) to large events (£2,000-£10,000+). Corporate events generally pay more than public events.
Should I charge for setup and breakdown time?
Yes. Setup and breakdown can add 1-2 hours to your day. Some DJs absorb this into their performance fee for smaller events; for larger setups or venues that require early access, charge a setup fee or specify that setup time is included in the quoted hours. Be clear in your contract.
What happens if an event runs over the agreed hours?
Include an overtime rate in your contract (typically 1.5x your hourly rate). Communicate the end time clearly to the event organiser during the event. If you are available to extend and the client wants you to, agree the overtime fee on the spot and invoice accordingly.
How do I handle music licensing for DJ events?
Venue operators in the UK are responsible for holding the appropriate PPL and PRS licences for live and recorded music performances. As a DJ, you are not typically responsible for venue licensing, but for performances at unlicensed venues or private events, check the requirements. Keep records of your performances for any licensing queries.
Do I need public liability insurance as a DJ?
Yes. Most venues and event organisers require evidence of public liability insurance (minimum £2-5 million). It covers you against claims arising from equipment damage, personal injury, or other incidents during your performance. Note your insurance details in your contract and have the certificate available on request.
